How this forecast works

Each year rounds up the starting-seat growth forecast, rather than growing the previous rounded count. Each vendor bills at least its entered seat minimum. Subscription increases affect both seat and platform prices from year 2. Read the method

Cumulative cash: option B is lower at year 1; option A is lower at year 2. This identifies a change between year ends, not an exact break-even month.

These are modeled full-year commitments, not invoice due dates or a discounted-cash-flow valuation. Monthly rates are rounded for display; annual costs use the full input precision. Confirm billing cadence, minimum-seat terms and renewal terms against the actual quote.

How the software cost comparison works

Compare two quotes that cover the same required work. Choose one to five complete years and enter your starting users, expected annual seat growth and an hourly value for internal staff time. All starting quotes are fictional examples. Enter net quoted rates after any discount that applies consistently across the comparison.

The model forecasts required seats from your original team size, then rounds each year up to a whole seat. It applies each vendor's minimum purchase after forecasting demand. Every year represents twelve months at that year's seat count; growth occurs at the start of a model year.

Required seats in year n = ceil(starting seats × (1 + growth rate)^(n − 1))
Billed seats = max(required seats, vendor minimum seats)

Each vendor's entered renewal increase applies to both its seat price and its fixed platform fee, starting in year two. It compounds from the original quote. No increase is assumed for your staff hourly value. Use zero for a fixed recurring price and compare a separate scenario if the quote has a promotional first year or a different renewal schedule.

Annual subscription = 12 × (billed seats × starting seat price + starting platform fee) × (1 + price increase)^(n − 1)

Upfront cash covers implementation, migration and other one-time quoted payments in year one. The time inputs are total hours across everyone involved: initial training once, plus administration and support each year. Include further onboarding in your annual hours if appropriate. Each annual subscription and each extended one-time or annual time charge rounds to cents before totals are added.

Cash cost = subscriptions + upfront cash
Valued staff time = (initial training hours + years × annual administration hours) × hourly value
Cost including staff time = cash cost + valued staff time

Valued staff time may already be paid through existing payroll. It is shown separately so you can assess the use of that time without treating it as another vendor invoice. Do not enter the same labor in both upfront cash and staff hours. Lower cost does not establish equivalent features, security, support or suitability.

Worked example: a growing ten-person team

Over three years, ten starting seats with 20% annual growth become 10, 12 and 15 required seats. Both illustrative quotes have a ten-seat minimum. Staff time is valued at $50 per hour. These are model inputs, not current vendor prices or forecasts of what a team will need.

Three-year cash cost$15,132.75$16,040
Valued staff time$4,600$2,300
Cost including staff time$19,732.75$18,340

Vendor A uses $907.25 less cash in this scenario. Vendor B costs $1,392.75 less when the entered staff time is valued as well. That difference depends on your time estimates; it does not establish extra payroll savings.

Sources and contract assumptions

Developers Italia's software acquisition guidance describes total ownership costs beyond license acquisition, including customization, maintenance, training and migration. This calculator uses a limited set of entered costs over your chosen planning horizon.

Google Workspace's payment-plan comparison distinguishes license commitments from monthly or annual billing. Microsoft's billing-frequency guidance also separates payment frequency from subscription length. Check those terms in each quote: a monthly-equivalent price does not mean you can cancel after a month.

The annual growth and price increases are your scenario assumptions. Actual contracts may use tiered prices, prorated additions, activity credits, separate support charges or negotiated renewals. None is inferred from a vendor name. Tax, financing, discount rates, exit costs, usage-based charges and midyear changes are outside this model. It does not calculate return on investment or a complete lifetime cost.

Software cost comparison questions

What if I have an annual quote rather than a monthly price?

Divide a flat annual per-seat rate by twelve for the monthly-equivalent seat input. Do the same for a flat annual platform charge. Enter the rate for the commitment you will actually purchase, and check any rounding difference against the written quote. Annual totals model spending for full years; they do not show invoice dates or cash balances.

Can this model a minimum-spend contract?

It supports a minimum number of purchased seats. A minimum annual dollar spend, usage tiers or different types of licenses need a separate quote calculation. Do not convert a dollar minimum into seats unless the supplier's terms support that treatment.

Does training grow with the number of users?

Initial training hours apply once. Annual administration hours stay constant and represent the whole team's time, including any ongoing onboarding you choose to include. Neither is automatically multiplied by users or increased with seat growth.

When does one vendor become cheaper?

Compare the cumulative totals at each year end. A change in the lower-cost option identifies an interval between modeled year ends, not an exact break-even month. Upfront timing, billing dates and midyear usage could change the cash position within that interval.

How do I include this in my project planning?

Put the relevant software expense in the Job Quote & Cost Overrun calculator when quoting a job. Use the Project Deposit & Cash Gap calculator for actual expected payment dates. Check that internal time and supplier setup charges are counted once across the tools.
